How to Set Up a Custom Sending Email Domain in LeadTruffle

Overview


If you’re sending emails to leads through LeadTruffle, you’ll want them to come from your branded email (like [email protected]) instead of a generic system address.


Setting up a custom sending domain improves:


• ✅ Brand trust


• ✅ Email deliverability


• ✅ Professional appearance


This guide walks you through the full setup process.



Steps


Step 1: Go to Email Settings


  1. Log into your account at app.leadtruffle.com


  1. Click Settings


  1. Click Email


Step 2: Create Your Sending Domain


  1. Enter your company domain


• Example: leadtruffle.com


  1. Enter your default address name


• Example: contact → creates [email protected]


  1. Click Create Sending Domain



Why You’ll See “mg.yourdomain.com”


After creating the domain, you’ll see something like:


mg.leadtruffle.com


This is a subdomain used specifically for sending emails.


We recommend this because:


• You’ll often email new leads


• It protects your main domain’s reputation


• It improves deliverability


• It keeps marketing and customer emails separate



Step 3: Add DNS Records to Your Domain


After clicking Create, you’ll see several DNS records (they may look technical or “scary”).


You must:


  1. Log into wherever your domain is managed


• Namecheap


• GoDaddy


• Cloudflare


• Google Domains


• Square


• Or wherever you originally purchased your domain


  1. Add each DNS record exactly as shown in LeadTruffle



Not Sure Who Manages Your Domain?


If you’re unsure:


  1. Go to https://lookup.icann.org


  1. Enter your domain


  1. Scroll to Registrar Information


  1. Log into that provider



Have a Web Developer?


If someone else manages your domain:


  1. Click Send Setup Instructions


  1. Enter their email (ex: [email protected])


  1. Click Send


Anyone familiar with DNS can complete this in about 3 minutes.



Step 4: Verify Your Domain


Once DNS records are added:


  1. Return to Settings → Email


  1. Click Verify Domain


If everything is correct, your domain will show as Verified.


Step 5: Configure the Email Gateway


Once verified, your email can now be used inside the Email Gateway.


To configure:


  1. Turn the email gateway On


  1. Click Edit


You can now customize:


Sender Display Name


• Example:


• “LeadTruffle”


• “Brian from LeadTruffle”


• Your company name


Qualify Over Email


• Leave this on in most cases


• This allows the AI to qualify leads via email conversations


Agent Instructions


Just like Yelp, Thumbtack, or other lead sources, you can:


• Add custom AI prompts


• Specify the lead source


• Instruct the AI how to respond


Important:


If you’re using this for a specific source, set Qualification Type to:


• Google LSA


• Angie’s


• Other email lead sources → Generic (normal threading)


Optional: Forward Incoming Emails


You can also:


• Forward any emails received at this address


• Send them to another inbox (like your main team email)


This ensures nothing gets missed.


That’s It 🎉


You now have:


• A branded sending domain


• Improved deliverability


• A verified email gateway ready to qualify leads
