How to Set Up the Thumbtack Integration in LeadTruffle


Connect Thumbtack to LeadTruffle and automatically qualify incoming leads with AI.

Overview


LeadTruffle integrates directly with Thumbtack so you can:


  • Automatically respond to new leads
  • Qualify prospects with AI-powered conversations
  • Manage Thumbtack leads inside your LeadTruffle inbox
  • Send automated follow-ups


Once connected, LeadTruffle instantly responds to incoming Thumbtack leads and begins qualifying the customer via text conversation.

Step 1: Connect Your Thumbtack Account


Log into your LeadTruffle dashboard:


https://app.leadtruffle.com


Then follow these steps:


  1. Go to External CRMs
  2. Scroll down to Thumbtack
  3. Click Connect


You will be redirected to Thumbtack.


  1. Log in if prompted
  2. Click Approve Connection


That’s it — your accounts are now connected.



Troubleshooting


If the connection doesn’t work, try these steps.


  • Make sure you are logged into Thumbtack before clicking Connect
  • Use Google Chrome for best compatibility
  • Disable browser pop-up blockers if necessary

How the Thumbtack Integration Works


When a new Thumbtack lead arrives:


  1. LeadTruffle receives the lead data
  2. AI instantly sends the first response
  3. The AI begins qualifying the lead through text conversation
  4. The conversation appears in your LeadTruffle Conversations inbox


Messages sent by LeadTruffle inside Thumbtack will show:


Sent by integration partner


If you manually reply (either in LeadTruffle or Thumbtack), that label will not appear.


You can take over the conversation anytime.



Step 2: Configure Your Thumbtack AI Prompt


Navigate to:


Settings → Thumbtack Prompt


You will see two areas:


  • Your general AI knowledge base
  • A Thumbtack-specific AI prompt



Default Prompt


LeadTruffle includes a generic prompt by default.


You can either:


  • Leave it as-is
  • Customize it for your business


For example, you might configure the AI to:


  • Ask scheduling questions
  • Request photos of the project
  • Gather measurements or details
  • Qualify timeline and budget



Important: Thumbtack Sends More Lead Data


Thumbtack provides more information than most channels, including:


  • Customer name
  • Phone number
  • Job description
  • Intake answers
  • Project details


Because of this:


❌ Your AI usually does NOT need to ask basic questions like:


"How can we help you today?"


The customer already explained their project.


Instead, your AI should focus on:


  • Clarifying project details
  • Scheduling
  • Requesting photos
  • Gathering qualifying information



Step 3: Use “Edit Demo Payload” to Test


Before going live, test how your AI responds to leads.


Click:


Edit Demo Payload


This tool:


  • Simulates real Thumbtack lead data
  • Shows how your AI prompt responds
  • Lets you preview conversations before activating


Testing Steps


  1. Click Edit Demo Payload
  2. Choose a sample payload similar to your business
  3. Click Apply Preview
  4. Click Send Preview Message


You will immediately see the AI-generated response.


Adjust your prompt until the responses feel natural and effective.



Step 4: Managing Thumbtack Leads


All Thumbtack leads appear inside:


Conversations → Inbox


Each conversation includes:


  • A Thumbtack badge
  • Full message history
  • Lead contact information
  • AI-generated messages


This keeps all lead communication centralized.



Filtering Conversations


You can filter the inbox by:


  • Thumbtack leads only
  • Lead status
  • AI vs manual responses



Turning Off AI (Manual Takeover)


You can take over a conversation at any time.


Options include:


  • Turning off AI from the conversation view
  • Replying manually inside LeadTruffle


For most users, replying directly from LeadTruffle is faster and keeps all communication in one place.




Automated follow-ups significantly increase response rates.


LeadTruffle allows up to 3 follow-ups per conversation.



  • 8 hours after the lead arrives
  • 12 hours after the lead arrives
  • 24 hours after the lead arrives



Custom Follow-Up Instructions


You can guide the AI with additional instructions such as:


  • Offer a discount
  • Mention limited availability
  • Ask for photos
  • Ask a qualifying question


The AI will:


  • Read the full conversation
  • Generate a context-aware follow-up message



Step 6: Register Your LeadTruffle Numbers in Thumbtack


Thumbtack uses dedicated phone numbers to route calls and texts between pros and customers.


To ensure LeadTruffle can communicate with customers properly, you should register your LeadTruffle phone numbers in Thumbtack.


Registering Your Numbers


  1. Open the Thumbtack Pro app
  2. Tap Profile
  3. Tap the Settings gear icon
  4. Select Registered phone numbers
  5. Tap Add new number
  6. Enter your LeadTruffle phone number


Repeat this step for any additional numbers used by your team.



Using the Access Code (If Needed)


If someone on your team contacts a customer from a number that isn’t registered:


Thumbtack will request your 7-digit access code.


Once entered:


  • The call or text will connect
  • The phone number can be approved for future use


You can find your access code in:


  • Settings → Registered phone numbers
  • Inside the lead’s job details page



Best Practices


Follow these tips to maximize performance:


  • Test your AI prompt using demo payloads
  • Avoid asking questions already answered in the Thumbtack intake
  • Enable follow-ups to increase reply rates
  • Review conversations periodically and refine prompts
