How to use the Leads Board in LeadTruffle

📝 A complete walkthrough of the lead board — columns, sources, board view, custom statuses, filters, and archiving.


The lead board is where most of the day-to-day work happens in LeadTruffle. Every lead that enters the system shows up here. This guide walks through what you're looking at and how to use it.

Overview



The lead board gives you one place to see every lead, the channel they came in on, and where they sit in your pipeline. From here you can update statuses, filter and segment your leads, drag-and-drop in board view, and open any lead to reply or archive.



What you'll see on the lead board


Each row on the board is a single lead. You'll see their name, contact info, and a set of columns describing how they got into the system and where they are in your workflow.


Occasionally you'll see two leads grouped under one banner — for example, one for SMS and one for email. That's not a duplicate. It means you're hitting the same lead on multiple channels, and we've rolled them up under one unified lead.



Channel, lead source, and original source


Three columns describe where the lead came from. Together they give you a clear picture of how the lead reached your business.

Original source is set in the mapping when the lead enters the system. If you're not using a custom lead source or email gateway, this column may be empty.



Lead status and AI data collection


These two fields show up on every lead. They look similar but work very differently.


  • Lead status is set manually by you and your team — this is your pipeline (New, Contacting, Quoted, Scheduled, etc.)
  • AI data collection is set automatically by the AI based on what it's gathered from the conversation


You can update lead status from the board itself or from inside the Conversations Inbox.

Board view (Kanban)


Board view is the most popular way to work the lead board. It's a Kanban-style layout that breaks your leads out by status across columns like New, Contacting, Selling, Scheduled, and Dead.


  • Click Board View in the upper right to switch from the default table view
  • Drag any lead card between columns to update its status instantly
  • The columns shown reflect your custom lead statuses — see the next section to set those up



Customizing your lead statuses


Lead statuses are fully customizable. Most teams set these up once during onboarding and then refine them as their workflow evolves.


Edit your existing statuses


  1. From board view, click Edit Columns in the upper right
  2. You'll see every existing status listed


Instead of renaming an existing status, turn it off and add a new one. You can't change a status's underlying ID, so renaming can cause confusion downstream. Hiding the old one and adding a new one keeps everything clean.


Add a new status


  1. In Edit Columns, click Add
  2. Enter a name (e.g. "Quoted")
  3. Add a short description
  4. Pick a color
  5. Click Save


The new status will appear as a column in board view and as an option in the status dropdown.


Reorder your statuses


  • In Edit Columns, use the up/down arrows next to each status to put them in the order that matches your pipeline
  • Click Save when done


Update a lead's status


You can update status from three places:


  • The lead board (dropdown on each row)
  • Board view (drag the card to a new column)
  • The Conversations Inbox (status toggle on the conversation)



Tags, compact view, and filters


A few extra tools make working the board faster.


Status tags


Cards in board view will sometimes show tags that give you a quick read on what's happening:


  • Manual Takeover — someone on your team turned off the AI and is replying directly to the lead
  • Ready to Book — the lead has signaled they're ready for a team member to reach out and book the job


Compact view


Toggle Compact View in board view to fit more leads on screen at once. Tags still show up in compact view — you'll just see a denser layout.


Filters


Use the filters at the top of the board to narrow down what you're looking at:


  • Channel — how the lead got into the system
  • Lead source — which source the lead came from
  • Original source — only relevant if you're using custom lead sources or the email gateway
  • Assigned to — filter by which team member owns the lead
  • AI data collection — Not Started, In Progress, or Completed



Lead details and archiving


Click any lead to open the details panel. From here you can:


  • See the full set of info captured on the lead
  • Reply to the lead directly without leaving the board
  • Archive the lead


You can also archive from inside the conversation — open a conversation and click Archive in the upper right. Archived leads still show on the board but are flagged as archived.
