Overview
The Meta connection links your Facebook Pages to LeadTruffle so you can handle two different kinds of inquiries in one place, plus review how your ads are performing.
- Instant Form (Lead Ads) submissions are captured as leads, and LeadTruffle can start text and/or email follow-up.
- Messenger conversations are recorded, and the AI can reply as your Page while your team reads along or takes over.
- Ad Performance shows Meta's advertising metrics for connected ad accounts.
The important thing to understand is that the lead source and the reply channel are separate. A Facebook form lead can be followed up by SMS or email. A Messenger reply stays inside Facebook Messenger. Submitting an Instant Form does not, on its own, start a Messenger conversation.
What LeadTruffle handles
Feature | What starts it | What LeadTruffle does |
|---|---|---|
Lead Ads / Instant Forms | Someone submits a Facebook Instant Form | Captures their details as a contact and lead, and can start text and/or email follow-up when it's enabled for that form |
Facebook Messenger | Someone messages your connected Page (including from an ad) | Records the conversation and can reply as the Page with AI. Your team can read history, take over, and send replies |
Ad Performance | An authorized Meta ad account is connected | Displays Meta's advertising metrics and campaign results |
Activity | Lead Ads or Messenger activity arrives | Lets you check what was received and the status of follow-up |
Step 1: Connect Facebook and choose your Pages
- Go to Meta → Setup and click Connect.
- Complete Facebook authorization with an account that has access to the Pages you want to use — and, for reporting, your ad accounts.
- Back in LeadTruffle, confirm the expected Pages appear. Click Test and review any connection or Page warnings.
- For each Page, choose its settings and click Save Page settings.
Each Page has three controls:
Control | What it does |
|---|---|
Page processing | The master switch for the Page. Pausing it stops all processing while keeping your feature choices below |
Lead Ads | Allows Instant Form submissions to be imported (follow-up is configured separately in Lead Ads) |
Messenger | Allows Messenger messages to be received (AI replies also require the Messenger auto-responder to be turned on and saved) |
An active Page needs at least one of Lead Ads or Messenger enabled. Different Pages can use different settings.
Step 2: Set up Instant Form text and email follow-up
Open Meta → Lead Ads.
- Select the Facebook Page and click Refresh forms if needed.
- Select one or more forms. Any forms you select together receive the same saved settings.
- Under Follow up by, choose Text, Email, or both.
- Choose the agents and complete their setup.
- Have an authorized business user confirm the consent certification for the selected forms and channels.
- Turn on Automatic follow-up, save, and check each form's status.
Text
- Choose Default Website Texting or an available text agent. Existing contacts keep their current agent.
- Under Advanced settings, set Wait before the first text anywhere from zero to 30 days. Zero adds no intentional delay, but texts still wait for allowed texting hours.
- Optional pre-text rules let you run a check before the first text — depending on the result, the system can send, delay, or skip it.
- Select an available email agent, or choose Set up email.
- Email setup includes the internal agent name, the customer-facing sender name, the first-response subject, an optional forwarding address for lead copies, and AI response instructions.
- The submitted lead must include a valid email address.
How activation works
- No forms selected: you're editing the Page's defaults. Saving defaults does not change existing forms.
- Newly discovered forms: they copy Page defaults but start with follow-up off. You must enable them explicitly.
- Turning a form on: applies to new leads going forward — it does not contact older submissions.
- Both channels enabled: text and email are evaluated separately, so one can send while the other is skipped.
- Consent certification: records your business's confirmation. It does not collect consent from the person submitting the form.
Each form shows Follow-up on, Follow-up off, or Needs attention. If a bulk save reports partial success, review the named failures rather than assuming every form updated.
Step 3: Set up and use Facebook Messenger
Open Meta → Messenger and select the correct Page. All settings here are per Page and require an authorized administrator.
Configure the AI
- Turn on the Messenger AI auto-responder.
- Edit the Messenger AI instructions with your services, tone, questions, and boundaries. The default instructions focus on answering questions, collecting missing details, and moving toward a booking or call.
- Choose an AI booking mode your setup supports. Connecting Facebook alone does not enable booking.
- Optionally enable Pause after one automatic reply while testing. Disable and save it when you want the AI to keep replying.
- Click Save Messenger settings.
Preview before going live
Agent Preview uses the selected Page, business profile, booking mode, and current instructions (including unsaved edits). It does not send a real Facebook message or save to conversation history. A good preview tests a common service question, a case with missing contact info, and a booking request.
Read and respond to conversations
Open a conversation to see its recorded history, message origins, timestamps, and the reply-window closing time.
- Take over manually pauses AI handling for that conversation.
- Send a Page reply sends your text through Messenger (this also switches on manual takeover).
- Return to AI releases manual takeover — the Page, saved AI settings, one-reply limit, and reply window must still allow an automatic reply.
The reply composer sends text only, up to 2,000 characters. Received attachments may show as a count; full attachment viewing and AI image understanding aren't guaranteed from this screen.

Ad Performance and Activity
Ad Performance
Choose an ad account and a 7-, 30-, 90-, or 365-day range to see spend, impressions, clicks, attributed leads, click-through rate, cost per lead, daily trends, and campaign results.
Activity
Filter by All sources, Meta Lead Ads, or Meta Messenger, then search by contact info, Page, details, or status.
Status | What it means |
|---|---|
Captured — follow-up off | Details were captured, but automatic outreach is off |
Text/Email scheduled | Queued or pending — not yet sent |
Text/Email sent | A send was recorded (this doesn't prove delivery or that it was read) |
Text/Email not sent | Follow-up was skipped — the reason is shown |
Check send status | The outcome is uncertain — verify before sending again |
Needs attention | Something in the setup failed or is unavailable |
Lead webhook received / processed | Meta's notification arrived, but full details may still be pending |
Active / Window closed | The Messenger reply window is open or closed |
Activity is a recent operational view, not a complete advertising report, so its counts aren't a reliable total of fully imported contacts.
Troubleshooting
Problem | Check first | Next step |
|---|---|---|
My Page is missing | Correct company, Facebook account, and authorized Pages | Reconnect with the intended assets, or involve your Meta administrator if access is missing |
Facebook leads aren't coming in | Setup connection, Page processing, Lead Ads switch, Page warnings, Activity | Confirm the exact Page/form and submission time. A notification with no lead details needs investigation |
The lead is here but no text was sent | Form activation, consent certification, 10DLC, text agent, valid phone, delay, texting hours | Also check whether the contact opted out, is under manual takeover, or already finished — a skip can be expected |
No email was sent | Email enabled on that exact form, available email agent, valid submitted email | Review the contact's email conversation and the displayed skip or failure reason |
My new form isn't following up | Refresh forms and check that form's activation | New forms start off even when Page defaults have channels selected — enable the form and save |
Old leads weren't contacted after I turned it on | Submission time vs. activation time | Activation applies to new leads only; older submissions aren't backfilled |
Messenger AI isn't answering | Page processing, Messenger switch, saved auto-responder, manual takeover, one-reply option, reply window | If all are correct, note the conversation and timestamps for support |
The Messenger send box is disabled | Reply-window closing time | A closed window blocks sending — reconnecting or returning to AI won't reopen it |
Preview works but Facebook doesn't | Saved settings and the live Page connection | Preview doesn't test Facebook delivery — check a real inbound conversation and its recorded outcome |
Meta's lead count is different | Real vs. demo ad account, date range, attribution | Meta-reported leads and received inquiries don't measure the same thing |
