How to Set Up Call Forwarding Using Call Flows in Housecall Pro

What this setup does


Your Housecall Pro call flow controls how every incoming call is routed. This guide sets it up so that:

  • After hours, calls forward straight to LeadTruffle so no lead goes unanswered.
  • During business hours, your team gets a chance to pick up first — and if no one answers, the call rolls over to LeadTruffle automatically.

The result: LeadTruffle catches every call your team can't, day or night.



Before you begin


You'll need:


  • Your LeadTruffle forwarding number — the external number calls will forward to. If you don't have it yet, your LeadTruffle onboarding contact can provide it.
  • For most customers, this will be your Missed Call Text Back or AI Voice number
  • Access to your Housecall Pro Voice settings, with at least one phone number already set up in HCP Voice.


Step 1: Open your call flow settings


  1. Click the gear icon in the top right corner of your Housecall Pro account to open Settings.
  2. Select Communications from the menu on the left.
  3. Click the Voice tab.
  4. In Call flow settings, either:
    • Click Create call flow to start a new one (use the basic call flow template), or
    • Click the More icon (three dots) next to an existing call flow and select Edit call flow.




Editing an existing flow? The steps below describe the end result you're aiming for — just adjust your current widgets to match.


Step 2: Set your incoming numbers


Open the Incoming call widget and choose which phone numbers this call flow applies to.

  • This is usually your primary line.
  • If you use tracking numbers (for example, a Yelp or Google number), you can assign those here too.




Step 3: Set your call hours


Open the Call hours widget and choose how the system decides when you're open or closed:

  • Use business hours from company profile — pulls the hours already set in your HCP profile, or
  • Use customized hours for calls — set the exact open and closed windows you want for calls.

Save the widget. Your call flow now branches into two paths: open hours and closed hours. You'll configure each one in the next two steps.





Step 4: Route calls during closed hours


On the closed hours branch, send every call straight to LeadTruffle.

  1. Add a Forward step.
  2. Select External number.
  3. Enter your LeadTruffle forwarding number.
  4. Leave the ring duration on its default setting.

Now any call that comes in outside your business hours forwards automatically to LeadTruffle.



Step 5: Route calls during open hours


On the open hours branch, give your team a chance to answer first, then roll over to LeadTruffle if no one picks up.

  1. Set the first step to ring your team. Pick whichever fits how you work:
    • All available web phones
    • A specific employee
    • A ring group you've set up
  1. Add a Forward step after it.
  2. Select External number and enter your LeadTruffle forwarding number.


This way your team gets first crack at the call, and anything they miss forwards to LeadTruffle so it's never dropped.



Step 6: Clean up extra steps and save


  1. Delete any steps that come after the forward-to-LeadTruffle step on either branch. Once the call is handed to LeadTruffle, no further steps are needed.
  2. Click Update call flow in the top right corner to apply your changes.
  3. This is what the final call flow will look like:
