How to set up email forwarding in Outlook

Description: Learn how to create an Outlook desktop rule that automatically forwards emails to another address.

Create a new rule


  1. Open Outlook desktop
  2. Click File in the top-left corner
  3. On the Info page, click Manage Rules & Alerts
  4. In the Rules and Alerts window, click New Rule…
  5. Under Start from a blank rule, select Apply rule on messages I receive
  6. Click Next



Set the sender condition


  1. In the list of conditions, check with specific words in the sender's address
  2. In the lower pane, click the blue underlined specific words link
  3. Enter the sender domain you want to forward — for example: @company.com
  4. Click Add, then click OK
  5. Click Next


Google LSA users: Enter @awexpress.google.com as the sender domain. Do not use from:*@awexpress.google.com — that format is for Gmail filters and will not work in Outlook.



Set the forwarding action


  1. In the list of actions, check forward it to people or public group
  2. In the lower pane, click the blue underlined people or public group link
  3. Enter the forwarding address you want to use, select it, and click OK
  4. Click Next
  5. Leave exceptions blank unless you want to exclude certain emails, then click Next

Name and activate the rule


  1. In Specify a name for this rule, enter a name — for example: Forward LSA emails
  2. Make sure Turn on this rule is checked
  3. Click Finish
  4. Back in the Rules and Alerts window, click Apply, then OK


Your rule is now active. Any incoming email matching the sender condition will automatically forward to the address you specified.



Troubleshooting


Some Microsoft 365 and Exchange environments block external automatic forwarding by default. If your rule is set up correctly but emails are not forwarding, your account administrator may need to allow external forwarding in Microsoft 365 admin settings.
