People


Contact


A person — typically a homeowner — who has reached out to your business. The Contact is the primary record in LeadTruffle. Each Contact has one pipeline status and can have multiple Inquiries over time.


  • John Smith, a homeowner in Austin, TX looking for an AC tune-up.
  • Sally Jones, a homeowner in New Orleans, LA who reached out on Yelp requesting a roof inspection estimate.
  • Mark Crown, a homeowner in Phoenix, AZ looking for help with a broken faucet.

Inbound events


Inquiry


A time-bound expression of intent from a Contact to get products or services from your business. An Inquiry is created every time someone reaches out — through a lead vendor, your website, or a phone call. One Contact can have multiple Inquiries over time.


  • John Smith's phone inquiry — John called your business number directly. LeadTruffle's AI answered, collected his information, and created an Inquiry with Source: Phone.
  • Sally Jones's Yelp inquiry — Sally submitted a Request-a-Quote on Yelp asking for a free roof inspection estimate. LeadTruffle received the lead and created an Inquiry with Source: Yelp.
  • Mark Crown's Modernize inquiry — Mark's information was sent to LeadTruffle via a webhook. An Inquiry was created with Source: Modernize and Entry Point: Custom Lead Source.

Source


Where an Inquiry came from. Set by the first Inquiry on a Contact and never overwritten. Examples: Yelp, Google LSA, Modernize, Thumbtack, Website, Phone.


Entry point


How an Inquiry technically entered LeadTruffle. Examples: Website Texting Widget, Phone System, Email Gateway, Custom Lead Source, Yelp Integration.


Source and Entry Point are different things. Source is where the lead came from. Entry Point is how it arrived in LeadTruffle. A Modernize lead delivered via webhook has Source: Modernize and Entry Point: Custom Lead Source.


Communications


Channel


The communication medium used to reach a Contact in response to an Inquiry. Examples: SMS, Email, Phone, Yelp in-app messaging.


Conversation


A channel-specific message thread tied to an Inquiry. A single Inquiry can have multiple Conversations across different channels — for example, an SMS thread and a separate email thread.


Message


An individual communication sent or received within a Conversation. Examples: an outbound SMS, an inbound email reply, a call recording.


Pipeline


Contact status


The current stage of a Contact in your sales pipeline. Managed at the Contact level — not the Inquiry level. Default statuses: New, Contacted, Quoted, Appointment Set, Nurturing, Won, Lost.


Needs review


A badge that appears on a Contact when new activity has come in that requires attention. Does not change the pipeline status — it flags that something new happened and the Contact should be looked at. Clears when you update the status, change the assignee, or click Mark Reviewed.


Assignee


The team member responsible for managing a Contact through your pipeline.


Phone & messaging


10DLC


A 10-digit long code — a dedicated local phone number registered to your business for SMS communication. Your 10DLC is the number contacts see on every text LeadTruffle sends on your behalf. Required for most outbound SMS channels, SMS follow-ups, and human takeover. Available on the Growth plan and above.

Human Takeover


The ability to manually take over a conversation from the AI. When human takeover is on, the AI stops responding and your team handles replies directly from the Conversations Inbox. Toggle AI back on at any time to resume automated responses. Requires a 10DLC. Manual texting is available for up to 90 days after the last customer interaction.

System


AI data collection


The process by which LeadTruffle's AI gathers job details from a Contact during an Inquiry. Captures information like service category, property type, and contact reason based on your AI prompt.


AI qualification status


Whether the AI has started, is in progress on, or has completed data collection for a given Inquiry. Tracked automatically — your team can't change it.


  • Not started — the AI has sent its first message but the Contact hasn't responded yet.
  • In progress — the Contact has started responding but the AI hasn't gathered everything your prompt asks for.
  • Completed — the AI has collected every piece of information specified in your prompt.

Inquiry contact information


The name, phone, email, and address captured at the moment an Inquiry entered the system. May differ from the current Contact record if that information has been updated since.


Legacy Leads


The previous LeadTruffle workspace model, where each lead submission was its own pipeline record. Still available for existing customers during the transition to the Contacts model.
