How to connect AccuLynx and LeadTruffle

Overview


The AccuLynx integration pushes qualified leads from LeadTruffle straight into AccuLynx, so your team works new jobs without manual data entry.


Here's what it does:


  • Sends qualified LeadTruffle lead inquiries into AccuLynx.
  • Reuses a matching AccuLynx contact when one already exists, then creates a job with the lead's details and notes.
  • Links each AccuLynx job to the original LeadTruffle inquiry, so the same lead never creates duplicate jobs.
  • Optionally matches AccuLynx invoices back to LeadTruffle leads for conversion and revenue tracking.
  • Optionally lets the AI offer appointment times and create the first appointment directly in AccuLynx.



Before you start


You'll need an active AccuLynx account with API access.


  • AccuLynx requires the AppConnections add-on for API-key access.
  • A Company or Location Administrator must create a dedicated API key in AccuLynx under Account Settings → API. Name it something recognizable, like LeadTruffle.
  • AccuLynx issues API keys per location. If your account has multiple locations, make sure the key belongs to the location you want this LeadTruffle account to use.


Treat your API key like a password. Anyone with the key can read and write data in your AccuLynx account.

Step 1: Connect AccuLynx


  1. In LeadTruffle, open Integrations → External CRMs.
  2. Find AccuLynx and click Connect.
  3. On the Lead Sync tab:
  • Paste your AccuLynx API key.
  • (Optional) Add a Location Label so you can identify the connected location later. This label is just a name — the API key itself is what selects the location.
  • Leave Don't sync masked data from third-party lead sources enabled unless you have a specific reason to turn it off.
  • Enter your preferred Contact Type, Lead Source, Job Category, Trade Type, and Work Type. Type these exactly as they appear in AccuLynx.
  • (Optional) Enable invoice conversion syncing if you want matched AccuLynx invoices to mark LeadTruffle leads as won and record revenue.
  1. Click Save. LeadTruffle validates the key right away — the card should switch to Connected.
  2. Click Test Connection to confirm everything's working.


If you leave a field like Job Category or Trade Type blank — or type a name AccuLynx doesn't recognize — LeadTruffle picks the closest common match, then falls back to the first available option. Matching the names exactly avoids surprises.


The Test Lead Sync and Invoice Matching tests write real data to AccuLynx. Only run them if you're okay creating a real job or match in your account.



Step 2: Enable AI booking (optional)


Turn this on if you want the AI to offer appointment times and book the first appointment directly in AccuLynx.


  1. On the AccuLynx card, open Settings, then the AI Booking tab.
  2. Enable Allow AI booking in AccuLynx and Use LeadTruffle availability windows.
  3. Click Load Calendars and select the calendar LeadTruffle should check for availability and write appointments to.
  4. (Optional) Click Load Users and select the representatives to assign:
  • Select one user to assign every appointment to that person.
  • Select multiple users to assign appointments round-robin.
  • Leave all users unselected to create unassigned appointments.
  1. Set your timezone, booking windows, appointment length, minimum notice, and how many days ahead the AI can book.
  2. Choose which details the AI must collect before booking — email, phone, and/or address.
  3. Click Preview Availability, confirm the times look right, and save.
  4. In each lead source or AI-agent setting where you want booking, select AccuLynx AI booking as the booking mode.


Turning on AI booking at the integration level doesn't switch it on everywhere. You have to select AccuLynx AI booking in each lead source or AI-agent setting you want it active for.



Troubleshooting


Card shows "Needs Attention" after saving
Verify the key is active, belongs to the correct AccuLynx location, and that the account has API / AppConnections access.


Wrong category, trade, work type, or lead source on new jobs
Confirm the name you entered matches the label in AccuLynx exactly.


The AI isn't offering any booking times
Check that AI booking and availability windows are enabled, a calendar is selected, and the timezone is correct. Then run Preview Availability — it should return open slots.


Calendar or users disappeared after I changed the API key
This is expected. A new key may belong to a different location, so load and select your calendar and users again.


Invoices aren't marking leads as won
Invoice matching only works on AccuLynx jobs that are linked to a LeadTruffle inquiry. Open Logs on the AccuLynx card, and run the invoice-matching test if you need to dig deeper.
