How to set up JobNimbus AI booking in LeadTruffle

Overview


JobNimbus AI booking lets the LeadTruffle AI offer appointment times to a lead and, once the lead confirms an exact time, create an appointment Task in JobNimbus.


When a booking succeeds, LeadTruffle can:


  • Create or update a JobNimbus contact
  • Optionally create or reuse a JobNimbus job
  • Create a JobNimbus Task with the booked start time, end time, task type, and any notes
  • Link that Task to either the contact or the job, depending on your settings


Lead sync and AI booking work independently. You can sync leads into JobNimbus as contacts without turning booking on, and layer booking on top once you're ready.

How JobNimbus AI booking works


LeadTruffle generates available appointment times from the booking windows you configure in LeadTruffle. The AI only ever offers those exact times โ€” it won't invent or adjust them.


If a lead says something broad like "sometime in the morning" and several exact times match, the AI asks them to confirm one specific time before booking. When the lead confirms, LeadTruffle re-checks that the exact slot still exists in your current windows before creating the Task. If it no longer exists, no Task is created and the AI offers updated alternatives.


JobNimbus appointments are created as Tasks, with the booked start and end time, your chosen appointment task type, and the lead's notes when available.


LeadTruffle generates available times from the booking windows you set in LeadTruffle โ€” it does not read your native JobNimbus calendar or existing JobNimbus appointments. This is synthetic availability stored in LeadTruffle, not pulled from JobNimbus. If your team also schedules directly inside JobNimbus, keep your LeadTruffle booking windows aligned with that schedule and set conservative windows to avoid double-booking.



Step 1: Connect your JobNimbus account


If you haven't connected JobNimbus yet, start there first. See How to connect JobNimbus to LeadTruffle for the full setup.


Once connected, come back here to enable AI booking.



Step 2: Set up lead sync


After a lead is qualified, LeadTruffle can sync them into JobNimbus as a contact โ€” even if AI booking isn't enabled yet.


When matching a lead to an existing JobNimbus contact, LeadTruffle checks in this order:


  1. Email
  2. Phone (if no email match)
  3. Exact first and last name (if no phone match)
  4. Creates a new contact if there's no match


Two options to decide on before enabling booking:


  • Require name and contact method before sync โ€” when enabled, a lead won't sync (or book) unless it has a usable name and at least an email or phone.
  • Automatically create a job when a lead syncs โ€” when enabled, LeadTruffle also creates a JobNimbus Job. Requires a Job Workflow Name and Job Status Name in your contact/job mapping settings.



Step 3: Enable AI booking


These settings are on the Scheduling tab of the JobNimbus integration panel.


  1. Turn on** Enable schedule-based JobNimbus availability**).
  2. Enter the exact Appointment Task Type Name as it appears in JobNimbus.
  3. Set the Appointment Relation Target โ€” choose Contact or Job.
  4. Set the Default Duration Minutes for appointments.
  5. Save.




The Appointment Task Type Name must match an existing JobNimbus task type exactly โ€” including capitalization and spacing. If tasks are set to relate to Jobs, the Job Mapping fields in Basic Settings must also be exact and complete.


If you set the Appointment Relation Target to Job, LeadTruffle will create or reuse a job during booking โ€” even if your normal lead sync is contact-only. Make sure your Job Workflow Name and Job Status Name are configured in Basic Settings.



Step 4: Set your booking availability


Still on the Scheduling tab:


  1. Set your Booking Timezone.
  2. Set Slot Minutes โ€” the length of each appointment slot offered to leads.
  3. Set Min Notice โ€” how many minutes in advance a lead must book (e.g. 120 = leads can't book anything within the next 2 hours).
  4. Set Days Ahead โ€” how far into the future booking is allowed (e.g. 14 = leads can book up to 2 weeks out).



  1. Configure your Weekly Booking Windows โ€” pick which days are on and set start/end times for each.
  2. Save.




The default weekly schedule has Mondayโ€“Friday enabled and Saturdayโ€“Sunday off. Adjust to match when your team can actually take appointments.


Use the Scheduling Preview panel to check the exact slots that will be generated from your current settings before saving. It shows the next 14 days of available times so you can confirm everything looks right.



Step 5: Turn on JobNimbus booking for each channel


AI booking is enabled per channel. In the relevant AI or channel settings, select JobNimbus AI booking.


Supported lead channels:


  • SMS
  • Web chat
  • Email
  • Yelp
  • Thumbtack


If you want the AI to collect an email, phone, or address before booking on a specific channel, set those preferences in that channel's booking settings.



Voice booking


Voice booking is configured separately. In your AI Call Answering / Smart Call Router settings, select JobNimbus AI booking for CRM booking.


Voice booking uses the same JobNimbus availability windows and the same contact, optional job, and Task creation steps โ€” it runs through the call flow instead of the messaging flow.



Test your setup


The JobNimbus panel includes tools to confirm everything is working before going live:


  • Test Connection โ€” validates your saved API key against JobNimbus.
  • Preview Availability โ€” shows the exact slots generated from your Scheduling tab settings. This previews your LeadTruffle windows only โ€” it does not check your native JobNimbus calendar.
  • Test Sync โ€” runs the lead-sync path for a recent lead, creating or updating the contact (and a job, if your settings require one).
  • Test Booking โ€” creates a test appointment Task for a recent lead using a default slot of tomorrow at 9:00 AM in your company timezone. This is a Task-creation test, not a live availability test.



Update your AI prompts


Once AI booking is active, your AI prompts may need to be updated so the AI knows it can now book appointments and what to say when it does.

Troubleshooting


The AI isn't offering appointment times


  • Confirm the channel (or voice assistant) is set to use JobNimbus AI booking.
  • Confirm schedule-based availability is enabled with at least one active weekly window.
  • Use Preview Availability and check your timezone, min notice, days ahead, and weekly windows.


Bookings aren't being created in JobNimbus


  • Confirm Allow AI to book JobNimbus appointment tasks is on.
  • Confirm the Appointment Task Type Name matches an existing JobNimbus task type exactly.
  • If tasks relate to jobs, confirm the Job Workflow Name and Job Status Name in Basic Settings match JobNimbus exactly.
  • If Require name and contact method before sync is on, confirm the lead has a name and at least an email or phone.


A booked time looks wrong


  • Compare the confirmed time against the timezone set in your Scheduling tab.


There are conflicts with existing JobNimbus appointments


  • LeadTruffle doesn't subtract appointments created manually inside JobNimbus. Keep your LeadTruffle booking windows aligned with any manual scheduling your team does, and use conservative windows if your calendar is also managed inside JobNimbus.



Summary


Once everything is configured, the AI can offer exact appointment times from your LeadTruffle windows and create appointment Tasks in JobNimbus the moment a lead confirms. Lead sync runs independently โ€” contacts are created or updated whether or not a booking happens.
