How to Turn On Jobber AI Booking in LeadTruffle

📝 Set up LeadTruffle to check your Jobber calendar and book jobs directly from incoming leads — fully automated, end to end.

Before you start

AI Booking lets LeadTruffle see what's actually open on your Jobber calendar, then create the job or appointment directly in Jobber when a lead is ready to book. It turns initial lead submission into a confirmed job on your calendar with no manual steps in between.

This guide assumes Jobber is already connected to LeadTruffle. If it's not yet, see How the Jobber and LeadTruffle Integration Works first — it takes just a couple of clicks.

Step 1: Turn on AI booking

  1. In LeadTruffle, click External CRMs in the left sidebar
  2. Find the Jobber integration, click More, then Settings
  3. Toggle on Allow AI to book jobs
  4. Choose what info the AI must collect before booking. Options are email, phone, and address

Email and phone are usually the right balance — required enough to be useful, not so strict that typos in an address block bookings. You can always add address later.

  1. Click Save Settings

Step 2: Configure scheduling settings

Open Settings again and go to the Scheduling tab. Toggle on Enable Schedule-Based Jobber Availability, then set the following:

Time zone

Set this to your business's local time zone (Eastern, Central, Mountain, Pacific, etc.). This makes sure availability is calculated correctly.

Appointment window length

How long should each booked job block off? Most contractors use a 2–4 hour window:

  • 2 hours = 120 minutes
  • 3 hours = 180 minutes
  • 4 hours = 240 minutes

To get the value, multiply hours by 60.

Minimum notice

How far in advance must a lead book? Setting this prevents same-hour bookings that you can't realistically make.

  • 2 hours notice = 120 minutes
  • 12 hours notice (no next-day appointments) = 720 minutes

Maximum advance booking

How far out can a lead schedule? Most leads want first available in the next few days, but it's worth setting a cap so no one books six months out.

Step 3: Set your booking windows

Booking windows tell LeadTruffle which hours you're willing to take appointments. The AI will check these hours against your existing Jobber calendar to find open slots.

  1. On the calendar, set your standard hours (e.g. Monday–Friday, 9 AM – 5 PM)
  2. To take Saturday appointments, drag a slot onto Saturday (e.g. 12 PM – 4 PM)
  3. To change hours for a specific day, click that day's slot and adjust
  4. Click Save when done

Only the days and times shown here are bookable. If a day is blank, the AI won't book on it — even if Jobber is wide open.

Step 4: Preview availability

Once your windows are set, click Preview Availability at the bottom of the scheduling tab. LeadTruffle will return the actual open slots based on your booking windows minus anything already on your Jobber calendar.

If the slots look right, you're good. If something looks off (wrong time zone, missing days, slots you didn't expect), revisit Steps 2 and 3.

Step 5: Enable Jobber AI Booking on each lead channel

AI Booking is configured globally, but you also need to flip it on for each lead source where you want it active.

  1. Open the lead channel (e.g. Yelp, Thumbtack, Google LSA, Web Form, etc.)
  2. Scroll to AI Booking Mode
  3. Select Jobber AI Booking
  4. Save

Repeat for every channel where you want the AI to book directly into Jobber.

Step 6: Update your AI prompt

The last piece — and the most commonly missed. If your prompt still says things like "never confirm an appointment" or "tell them we'll reach back out to book," the AI will follow those instructions and won't book even when it can.

  1. Open the prompt for the lead channel you just enabled
  2. Remove any rules that block or defer booking, such as:
  • "Never confirm an appointment time"
  • "Tell them we'll reach back out to confirm"
  • "Don't schedule appointments"
  1. Add a clear booking instruction, for example: "Book the 2-hour appointment using Jobber AI Booking."
  2. Save the prompt

Skipping this step is the #1 reason AI Booking doesn't work after setup. The prompt overrides everything — if it says don't book, the AI won't book.

Repeat for every lead channel where you've enabled Jobber AI Booking.

Test your setup

  1. Open any lead channel and start a test conversation
  2. Play the role of a customer through to the booking step
  3. Confirm the AI offers a real available slot and books it into Jobber
  4. Repeat the test on each lead source where you've enabled AI Booking

If something doesn't work as expected, check that:

  • Jobber AI Booking is turned on for that channel
  • The prompt doesn't contain any conflicting instructions
  • Your booking windows in Step 3 cover the times the AI is trying to book

AI Booking is one of the most powerful features in LeadTruffle, and it does take a few minutes to set up correctly. If you'd rather have us walk through it with you live or just set it up for you, reach out — we're happy to do either.
