How to Setup AI Booking in BuilderPrime

Overview
With AI booking enabled, LeadTruffle's AI can:
- Communicate with leads across SMS, email, and message channels
- Check real-time availability in your Builder Prime account
- Create appointments directly on your Builder Prime calendar
- Assign those appointments to the right tech or salesperson
Before you start
Your LeadTruffle account needs to be connected to your Builder Prime account before AI booking will work.
If you haven't done that yet, follow How to connect Builder Prime to LeadTruffle first, then come back to this guide.
Step 1: Open Builder Prime settings in LeadTruffle
- In LeadTruffle, go to External CRMs
- Click Settings on the Builder Prime card
- The Builder Prime settings module will open
You'll land on the Basic Settings tab. Confirm the integration is enabled at the top before continuing.
Step 2: Configure basic settings
In the Basic Settings tab, turn on Allow AI to Book Builder Prime Meetings, then work through the fields below.

Meeting type
This auto-loads with your default Builder Prime meeting type. If you need to change it to a different meeting type, reach out to support and we'll help you get the right ID.
Reminder minutes
How far in advance of the meeting you want an internal notification. 30 minutes is a safe default.
Required before AI books
What information LeadTruffle needs to collect before the AI is allowed to book the appointment. Best practice is to require:
- Phone
- Address
Depending on the lead source, some of this may already be captured. If not, the AI will work to gather it before booking.
Employees
Load the employees from your Builder Prime account and select:
- Whose calendars the AI should check for availability
- Who appointments should be assigned to
Step 3: Set your AI booking availability
Switch to the Scheduling tab.
Leave Generate Builder Prime booking slots checked.
Configure each field:
Field | What it means | Typical setting |
|---|---|---|
Time zone | Your local time zone | Match your business location |
Slot minutes | Length of each booked appointment | 120 minutes (2 hours) |
Minimum notice | How soon someone can book from now | 2 hours up to 1 day |
Days ahead | How far in advance bookings are allowed | 14 days |
Weekly schedule | Days and hours the AI can book | MonβFri, 9 AM β 5 PM (adjust for weekends) |
Adjust the weekly hours to match how your team actually operates.

Step 4: Spot check your open slots
Once your availability is set, click Refresh Slots.
This shows you exactly what the AI would see as bookable right now β for example, Monday 11 AM, 1 PM, 3 PM; Tuesday 9 AM, 11 AM, 3 PM.
Compare these against your Builder Prime calendar. The slots should line up with what's genuinely open based on your settings.

When everything looks right, click Save.
Step 5: Turn on AI booking in your channel prompts
Saving the integration settings isn't enough on its own β you also need to enable AI booking inside the prompt for each lead channel you're using (SMS, email, message leads, etc.).
