How to Set Up Missed Call Text Back in LeadTruffle

📝 Set up LeadTruffle to automatically text anyone who calls and doesn't reach you — no AI Voice required.

What is missed call text-back?



When someone calls your business and you don't pick up, LeadTruffle automatically sends them a text to start a conversation.


It's one of the highest-value, lowest-risk ways to handle missed calls:


  • No missed lead — every unanswered call gets an immediate follow-up
  • Less risk than AI Voice — no chance of a frustrating phone interaction
  • More engaging than a voicemail — customers get a real reply, not a beep


Unlike Yelp or Thumbtack leads, a lot of the callers coming through this funnel will be existing customers — the prompt accounts for that out of the box.



Step 1: Pick your missed call number


  1. In the LeadTruffle sidebar, go to AI Lead Capture → Missed Call Text-Back
  2. Enter an area code close to your business and select a number


This number is never shown to your customers. It exists only so your phone system can forward missed calls to LeadTruffle. You'll set that up in Step 4.



Step 2: Record or generate your voicemail


Callers will hear your voicemail before LeadTruffle texts them — so it's worth getting this right.


You have two options:


Record it yourself


  1. Click Record in the voicemail section
  2. Record in a quiet space, ideally with headphones
  3. Keep it short — let them know you'll text them right away


Example script: "Hey, this is [Name] at [Business]. Sorry I missed you — we'll shoot you a text right now to get you taken care of."

Step 3: Configure your AI prompt


  1. In the Missed Call Text-Back settings, go to Agent Instructions
  2. If the mode is set to Structured, switch it to Freeform — structured mode is being retired
  3. Review the default prompt — it's ready to use for most businesses
  4. Use the Preview tool on the right to test how the AI responds before going live


What the default prompt does:


  • Sends an opt-in text first (since this is often the first time you've texted this person)
  • Asks if they're a new or existing customer
  • Routes accordingly — for existing customers, it can direct billing or service questions back to your main phone line
  • Qualifies new customers — service needed, location, contact info


Want to customize it? Copy the default prompt, paste it into ChatGPT, and ask it to adjust for your business. A built-in prompt assistant is coming soon.


Other settings to check:


  • Message limit — bump this up to around 45
  • AI booking — if you use Jobber, Housecall Pro, ServiceTitan, or another supported CRM, you can turn on AI booking here



Step 4: Set up call forwarding


This is what connects your existing phone to LeadTruffle. When you don't answer after a set number of rings, your phone system sends the call to your LeadTruffle number from Step 1.

Running your business on a mobile phone?


  • iPhone — configure forwarding in your carrier settings or by dialing a code
  • Android — go to Phone → Settings → Call Forwarding
  • Verizon example — dial *62 followed by your LeadTruffle missed call number


Using a VOIP system? (RingCentral, OpenPhone, Nextiva, etc.) — log into your VOIP portal and set the "no answer" forwarding destination to your LeadTruffle number.



Step 5: Final checks before going live


Before you start forwarding calls, confirm the following:


  • A phone number is selected in Missed Call Text-Back settings
  • Your voicemail is recorded or uploaded
  • Agent Instructions are set to Freeform and the prompt looks right
  • You've tested the prompt using the Preview tool
  • The AI agent toggle is turned on
  • Call forwarding is configured in your phone system


Once forwarding is active, any missed call will trigger an automatic opt-in text — and from there, the AI takes it from there.



What number do texts come from?


The text messages your customers receive will come from one of two numbers depending on your account setup. You can check which applies to you under Phone & Messaging Settings.


Shared toll-free number


If you haven't set up a dedicated number, texts go out from LeadTruffle's pre-approved shared toll-free number. You'll see it listed under Shared Numbers in your settings.


If a customer calls back a shared toll-free number, the call won't connect anywhere. Make sure your voicemail (Step 2) sets the right expectation — let them know you'll be in touch via text.


Your own 10DLC number (dedicated)


If you have a 10DLC number active on your account, texts will come from that number instead. 10DLC numbers are dedicated to your business, which improves deliverability and gives customers a more consistent experience.


If a customer calls back your 10DLC number, you can configure that number to forward calls to whatever business phone you want — your main line, a cell phone, wherever makes sense. See How 10DLC phone numbers work in LeadTruffle for setup instructions, including how to configure call forwarding.


Not sure which setup you have? Go to Phone & Messaging Settings and check under Shared Numbers. If you see a number listed there and no dedicated number, you're on shared. Contact support if you'd like to set up a dedicated 10DLC number.
